Kinmeadow Terms of Service

1. Who we are and what these terms do
Kinmeadow is an AI powered family and household organiser app operated by Northern Tech Hub Ltd, a company registered in England and Wales under company number 16428857, with its registered office at Ground Floor, Radley House, Richardshaw Road, Leeds, LS28 6LE. When we say "we", "us" or "our", we mean Northern Tech Hub Ltd. When we say "you", we mean the person using Kinmeadow.
These terms are the agreement between you and us for your use of the Kinmeadow app and website. Please read them. By creating an account or using Kinmeadow, you accept them.
Three other documents form part of this agreement and you should read them too:
- our Subscription Terms, which cover our Free and Pro plans, payment, renewal and cancellation
- our Acceptable Use Policy, which sets out what may and may not be shared inside Kinmeadow
- our Assistant Acceptable Use Policy, which applies to Meadow (the Kinmeadow assistant) on the Pro plan
Our Privacy Policy and Children's Privacy Notice explain what we do with personal data. They are not part of this contract, but they tell you things you need to know.

2. Who can use Kinmeadow
To create a Kinmeadow account and become the owner of a family group, you must be at least 18 years old and resident in the United Kingdom or the European Economic Area. You must have the legal capacity to enter into a contract.
Kinmeadow is not currently offered outside the UK and EEA. If you move outside those regions, we may not be able to continue providing the service to you.
3. Your family group
A family group is the shared space where your calendar, lists, meals, chores, chat and records live. It has three kinds of member.
The owner. The person who created the family group. The owner holds the subscription, can invite and remove members, can create and delete child profiles, and can close the family group.
Adult members. People aged 18 or over invited by the owner. Adult members can use all the features of the plan the family group is on, and can see the shared content in the family group. Adult members cannot remove other members or close the family group unless the owner gives them that permission in the app.
Child members. Under 18. Child members come in two forms, described in section 4.
The owner and each adult member are each responsible for their own use of Kinmeadow. The owner is additionally responsible for:
- deciding who is invited into the family group
- the child profiles they create and the settings applied to them
- making sure that anyone they invite who is under 18 is a member of their household or family and that they have the authority to invite them
Anyone in a family group can see the content shared into that family group, subject to the visibility settings available in the app. Think of the family group as a shared room. If you would not want everyone in your family to see something, do not put it there.
4. Child profiles and teen accounts
Child profiles (under 13). The owner or an adult member creates a child profile. The child has no separate login. The adult who created the profile controls what it contains and what the child can see. We do not ask children under 13 to give us information directly.
Teen accounts (13 and over). From the age of 13, a young person can have their own login, but only where the owner has created and authorised it. A teen account has its own password and its own view of the family group. High privacy settings are on by default and we do not use a teen's activity to build a profile of them or to advertise to them.
The owner can see what a teen account has shared into the family group and can remove the teen account at any time. What a teen account cannot do is buy anything, change the subscription, or invite new members.
We ask for each member's date of birth so that birthdays appear in your calendar and so that we know who is a child. We do not check identity documents and we do not use biometric age checks. We rely on the owner to give us accurate dates of birth for the people in their family group, and only the owner can change one.
If you believe a child in your family group has an account they should not have, contact us at notices@your-family.app and we will remove it.
5. Your account
Keep your password to yourself and do not let anyone else use your login. Tell us straight away at support@your-family.app if you think someone else has got into your account.
Give us accurate information when you sign up and keep it up to date, particularly your email address, because that is how we send you service messages and notice of changes to these terms.
You are responsible for what happens through your account, unless someone else uses it without your knowledge and that was not your fault.
6. Free and Pro plans
Kinmeadow has a free plan with a limited set of features, which you can use for as long as you like, and a paid Pro plan with everything. What is in each is set out in the app and on our website, and can change from time to time. Pro costs £6.99 a month, or £69.90 a year, and is sold through the Apple App Store and Google Play. There is no free trial.
Everything about payment, renewal, price changes, cancellation and refunds is in our Subscription Terms.
7. Your content
Everything you put into Kinmeadow stays yours. Your calendar entries, lists, photos, messages, meal plans, chores and records belong to you and the people you share them with, not to us.
To run the service we need your permission to handle that content. So you give us a licence to store, back up, copy, transmit and display your content, and to process it to provide the features you use, including showing it to the other members of your family group and generating responses from the AI assistant when you ask it something.
That licence is limited in four ways that matter:
- It exists only so that we can provide Kinmeadow to you.
- It is not exclusive, and we do not own your content.
- We do not use your content to advertise, to promote Kinmeadow, or to train artificial intelligence models. See section 8.
- It ends when you delete the content or close your account, apart from the short period it takes for deletions to work through our backups, which is set out in our Privacy Policy.
You are responsible for the content you put into Kinmeadow. By sharing something you confirm you have the right to share it, and that sharing it does not break the law or anybody else's rights.
If you send us ideas, feedback or suggestions about Kinmeadow, we can use them freely and without paying you. Please do not send us confidential information you do not want us to use.
8. The AI assistant
Kinmeadow includes the Meadow, which can answer questions and help organise things using the content in your family group. It is a Pro plan feature and is not available on the free plan. Our separate Assistant Acceptable Use Policy sets out what it may and may not be used for, the safeguards that apply, and how it behaves for teen accounts.
We do not use your family's content to train AI models. Not ours, and not our providers'. Your messages, documents, photos, calendar entries and lists are sent to a model provider only to generate the answer you asked for, and are not retained by that provider to improve their models. The providers we use are named in our Privacy Policy.
The assistant can be wrong. It generates text based on patterns and it sometimes produces answers that are inaccurate, incomplete or entirely invented. Check anything that matters before you act on it.
It is not professional advice. The assistant is for organising your household. It is not a doctor, a lawyer, a pharmacist, a financial adviser or an emergency service. Do not rely on it for medical, legal or financial decisions, and do not use it in an emergency. In an emergency in the UK, call 999.
No automated decisions about you. We do not use the assistant to make decisions about you that have legal or similarly significant effects.
Teen accounts can use the Assistant where the family group is on Pro, with additional safeguards, and the account owner can turn it off for any teen account. Child profiles cannot use it.
9. Connected calendars and mailboxes
You can connect a Google, Apple or Microsoft calendar or mailbox so that Kinmeadow can show your events alongside the family calendar and pick up things like renewal dates.
Connecting is optional. Access is read-only, we ask for the narrowest permissions that work, and you can disconnect at any time, either in Kinmeadow or in your Google, Apple or Microsoft account settings. Those providers hold your account under their own terms, not ours, and we are not responsible for what they do with it. Our Privacy Policy explains what we read and what we do with it.
10. How you must behave
Our Acceptable Use Policy sets out the rules. In short: do not use Kinmeadow to break the law, to harm or harass anybody, to share things you have no right to share, or to interfere with the service or other people's accounts.
If you break those rules we may remove content, limit what your account can do, or suspend or close it. Where we can, we will tell you first and give you a chance to put things right. Where the breach is serious, or where we have to act to protect somebody, we may act immediately.
11. Keeping the service running, and changing it
We will do our best to keep Kinmeadow available, but we do not promise that it will always be available or always free of faults. We may need to suspend it for maintenance, for security, or because something outside our control has gone wrong.
We improve Kinmeadow regularly, and that means features change. If we make a change that significantly reduces what a paid plan does, we will tell you at least 30 days beforehand and you can cancel and get a refund of the part of your subscription you have paid for but not used.
We may stop offering Kinmeadow altogether. If we do, we will give you at least [90] days' notice, stop taking payments, refund any unused part of a subscription, and give you a way to export your family's content before it is deleted.
12. Support
Support is available by email at support@your-family.app. We aim to reply to Free plan users within 5 working days and to Pro users within 2 working days, Monday to Friday, excluding UK public holidays. These are targets, not guarantees, but if something we have charged you for is not working, tell us and we will fix it.
13. Our responsibility to you
Things we are always fully responsible for. There are some things the law does not allow us to limit or exclude, and we do not try to. Our liability for these is unlimited, and none of the caps or exclusions later in this section apply to them:
- death or personal injury caused by our negligence
- fraud or fraudulent misrepresentation
- your statutory rights as a consumer, including your rights in respect of digital content that is not of satisfactory quality, not fit for purpose or not as described
- damage to your device or other digital content caused by defective digital content we supplied, where we failed to use reasonable care and skill
- anything else that cannot be limited or excluded under the law that applies to you as a consumer
Your legal rights as a consumer are not affected by these terms. Under the Consumer Rights Act 2015, and equivalent law in the EEA, digital content we supply must be of satisfactory quality, fit for purpose and as described. If it is not, you have rights to have it repaired or replaced, or to get some or all of your money back. Nothing here takes those rights away.
Subject to that:
We are responsible for foreseeable loss and damage caused by us. If we fail to comply with these terms, we are responsible for loss or damage you suffer that is a foreseeable result of us breaking this contract or failing to use reasonable care and skill. We are not responsible for loss or damage that is not foreseeable.
Our total liability is capped. For everything other than the things listed at the start of this section, our total liability to you for all claims arising in any 12 month period is limited to the greater of £250 and the total amount you paid for Kinmeadow in the 12 months before the claim arose. The cap does not apply to anything in that list, where our liability remains unlimited.
Business losses. Kinmeadow is supplied for domestic and private use. We are not liable for loss of profit, loss of business, business interruption, or loss of business opportunity.
Things outside our control. We are not responsible for failures caused by events outside our reasonable control, including failures of the internet, app stores, device manufacturers or your own equipment.
Other people's content. We are not responsible for content that other members of your family group put into Kinmeadow, or for what family members do with content you share with them.
14. Ending this agreement
You can leave at any time. Delete your account in the app, or email us. If you are on a paid plan, see the Subscription Terms for what happens to the money.
We can end it too, by giving you at least 30 days' notice by email, if we are no longer able to provide the service to you or if we stop offering it. We can end it immediately if you seriously or repeatedly break these terms or the Acceptable Use Policy, if we are required to by law, or if we reasonably believe your account is being used to harm somebody.
What happens to your content. When the owner closes a family group, the shared content in it is deleted. When an individual member leaves, their account is deleted and content they alone created is deleted, but content they shared into the family group may stay there for the remaining members. You can export your content before you leave, and our Privacy Policy explains the timescales.
15. Changes to these terms
We may change these terms, for example to reflect changes to the service, to our costs, or to the law.
If the change is minor or in your favour, we will update the terms and change the date at the top. If the change is material, we will give you at least 30 days' notice by email and in the app before it takes effect. If you do not accept a material change, you can cancel before it takes effect and we will refund any part of your subscription you have paid for but not used.
16. Complaints
If something has gone wrong, email us at notices@your-family.app with the word "Complaint" in the subject line. We will acknowledge within [3 working days] and give you a full response within [20 working days].
17. Which law applies, and where you can bring a claim
These terms are governed by the law of England and Wales.
If you live in the UK, you can bring court proceedings in the courts of England and Wales, or in the courts of the part of the UK where you live.
If you live in the EEA, you keep the protection of any mandatory consumer laws of the country you live in, and you can bring proceedings in the courts of that country. Nothing in these terms takes that away.
18. Other things
Transferring this agreement. We may transfer our rights and obligations under these terms to another organisation, for example if our business is sold. We will tell you in writing if that happens, and it will not affect your rights. You may only transfer your rights or obligations to someone else if we agree in writing.
Nobody else has rights under this contract. This contract is between you and us. Nobody else can enforce it.
If a court finds part of these terms unlawful, the rest continues to apply.
Delay is not waiver. If we do not insist immediately that you do something you are required to do under these terms, that does not mean we give up the right to require it later.
Notices. We will contact you by email at the address on your account, or through the app. Keep your email address up to date.
Entire agreement. These terms, the Subscription Terms, the Acceptable Use Policy and the Assistant Acceptable Use Policy are the whole agreement between us about Kinmeadow.
